Call Forwarding for Gym Owners: The Complete Setup Guide

Conditional forwarding, VoIP routing rules, star codes by carrier — how to route your gym's missed calls anywhere, in plain English.

Whether you're routing missed calls to a manager, an answering service, or an AI receptionist, the plumbing is the same: call forwarding. It's built into every phone line you already own, and setup takes minutes once you know which kind you need.

The two modes that matter

All-calls forwarding sends every call straight to the destination — your phone never rings. Conditional forwarding (busy / no-answer) is the mode most gyms actually want: your phone rings normally, you answer when you can, and only unanswered calls forward. Fun fact: your voicemail already works this way — conditional forwarding IS how calls reach voicemail. You're just changing the destination.

If your gym line is a cell phone

On Verizon: dial *71 plus the destination number for conditional forwarding, *72 for all calls, *73 to turn it off. On AT&T and T-Mobile: **004*<number># sets conditional forwarding (busy, no-answer, and unreachable at once), ##004# turns it off. These codes register on the carrier's network — they survive restarts and new phones, and they work even when your phone is dead.

One caveat if the line is a personal cell: conditional forwarding applies to every missed call, including personal ones. If that bothers you, the cleaner architecture is giving the gym its own published number and keeping your cell private.

If you're on a VoIP system

RingCentral, Grasshopper, Vonage, Nextiva, Dialpad, Zoom Phone — every business VoIP platform has this under names like 'Call Handling,' 'Answering Rules,' or 'Forward when unanswered.' VoIP adds the killer feature carriers can't: schedules. Set staffed hours to ring the desk for 20 seconds before forwarding, and after-hours to forward immediately. Ten minutes in your admin dashboard, fully reversible.

Test it before you trust it

Whatever you set up, verify it the same way: call your gym from another phone and don't pick up. You should land wherever you intended — and if that destination is worth forwarding to, you should get an answer, not another voicemail. Run the test once a month; forwarding rules have a way of getting 'cleaned up' by well-meaning staff.
